Who is responsible for your data
Sabrina Ibrohimova, sole trader trading as VellaCourt (ABN 64403081190), is the data controller responsible for the personal information described in this policy.
What we collect
Account details (email, display name, suburb), sports and ratings you add, messages, bookings, match and event activity, reports, and the times you accepted our documents.
For junior players: name, date of birth and parent or guardian contact details and consent, only where a program requires them.
Payments: our payment provider, Paddle (Paddle.com Market Limited), acts as Merchant of Record for VellaCourt subscriptions and payments and handles card details. We never see or store your full card number. We keep a record of subscriptions and entry payments.
Location: only if you tap Near me, and only in your browser to show nearby courts. We don't store it or send it to our servers.
Maps: map images come from OpenStreetMap's tile servers, so when you open the court map your browser connects to them and they receive your IP address and the map area you view. Court pins are placed at suburb centres that we looked up once, in advance, using OpenStreetMap's Nominatim service; your searches are not sent to it. Get directions opens Google Maps, which then handles your data under Google's terms.
How we use it
To run the service, match you with players, coaches and courts, process bookings and payments, keep the platform safe, respond to reports, and meet our legal obligations. We do not sell your personal information.
Who we share it with
Other users see what you choose to make public. Coaches, clubs and organisers see the details they need for your booking. Our service providers host our data and the website, process payments (Paddle, our Merchant of Record, which receives your name, email, billing country and payment details to complete purchases), send emails, provide AI features (your AI request text is sent to an AI model provider to produce a suggestion), and serve map tiles (OpenStreetMap). Some providers may store data outside Australia, including in the United States.
Your choices and rights
You can view and update your profile, hide yourself from Discover, and ask us for access to, correction of, or deletion of your personal information. We handle personal information in line with the Australian Privacy Principles. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).

How long we keep it and deleting your account
There is no self-serve delete button yet. To delete your account, email the privacy contact below from your account email. We will confirm the request and delete or de-identify your profile, sports, messages and activity within 30 days.
Some records are kept longer where the law requires or allows it, such as payment and tax records (generally up to 7 years), records of the documents you accepted, and safety reports needed to deal with a dispute. Payment details held by Paddle are kept under Paddle's own privacy policy and retention rules.
Keeping it safe
Access to data is restricted by account and role, and staff tools are limited to authorised staff. No system is completely secure. If a data breach is likely to cause you serious harm, we will notify you as the law requires.
